How to Add an Email Account or re-configure setting on Apple Mail (Mac)

I. IMAP configuration instructions:

1. Open the Mail app

1.1 If you are opening Mail for the first time and haven’t already set up an email account, you will be prompted to set up one.

1.2 If you're adding an additional account, choose Mail and click Add Account

2. On the Choose a Mail account provider prompt, select Other Mail Account and then click Continue.

3. Fill out your Name, Email Address and Password. Then click Sign In

4. If the mail settings lookup fails and you get an “Unable to verify account name or password” notification, enter the settings below:

  • Email Address: Enter your complete email address
  • User Name: Your full email address
  • Password: The email password you use to sign in to your account.
  • Account Type: IMAP
  • Incoming Mail Server: imap.siteprotect.com or mail.domain.com.my
  • Outgoing Mail Server: smtp.siteprotect.com or mail.domain.com.my

5. Click Sign In.

6. Select the apps you want to use with this account and click Done. Apple Mail will begin synchronizing all your mail folders.

Alternative ports for the Incoming (IMAP) and Outgoing (SMTP) Mail Servers

  1. Choose Mail, then Settings.

  1. On the Accounts page, select your email account on the left sidebar to start managing it.

By default, Apple Mail automatically manages the connection settings. It uses SSL encryption on port 993 for the Incoming Mail Server (IMAP) and SSL encryption on port 465 for the Outgoing Mail Server (SMTP).

Suppose a local firewall or your Internet Service Provider (ISP) blocks the default ports 993 and 465. In that case, you can use the following alternative ports: IMAP port 143 with TLS encryption and SMTP port 587 again with TLS encryption.

Below, you will find instructions on how to change this email configuration settings.

  • Click Server Settings.
  • Under Incoming Mail Server (IMAP) and Outgoing Mail Server (SMTP), uncheck the Automatically manage connection settings checkboxes.
  • Change the IMAP port number from 993 to 143, and then the SMTP port from 465 to 587. Leave Use TLS/SSL checked for both servers as they are.
  • Click somewhere else on the page to save the settings. Then, close the Accounts page.

II. POP configuration instructions:

1. Open the Mail app

2. On the Choose a Mail account provider prompt, select Other Mail Account and then click Continue.

3. Fill out your Name, Email Address and Password. Then click Sign In

4. If the mail settings lookup fails and you get an “Unable to verify account name or password” notification, enter the settings below:

  • Email Address: Enter your complete email address
  • User Name: Your full email address
  • Password: The email password you use to sign in to your account.
  • Account Type: POP
  • Incoming Mail Server: securepop.siteprotect.com or mail.domain.com.my
  • Outgoing Mail Server: smtp.siteprotect.com or mail.domain.com.my

5. Click Sign In. Your emails will start populating/downloading to the Inbox folder

 

Important Settings for the Incoming (POP) Mail Server

Important Note: The POP accounts can "Remove copy from the server after retrieving a message". This option is disabled by default. It is recommended that you verify that this option is disabled by following the instructions below.

1. Select Mail, then Settings.

2. On the Accounts page, select your email account on the left sidebar to start managing it.

3. On the Account Information tab, ensure that the "Remove copy from server after retrieving a message" box is unchecked.

Leaving the "Remove copy from server after retrieving a message" box unchecked is very important. Otherwise, the Mail application will remove your emails from the server after one week. Using this configuration, Apple Mail will download your Inbox folder emails to your Mac and then, after one week, will delete them on the mail server. Therefore, you will not see your Inbox messages when you access your email account using webmail.

 

Alternative ports for the Incoming (POP) and Outgoing (SMTP) Mail Servers

By default, Apple Mail automatically manages the connection settings. It uses SSL encryption on port 995 for the Incoming Mail Server (POP) and SSL encryption on port 465 for the Outgoing Mail Server (SMTP).

Important Note: Incoming Mail Server (POP) allows connections only on port 995, and TLS encryption is not supported. Therefore, there is no alternative if your local firewall or your Internet Service Provider (ISP) blocks the default port 995. However, you can still use the alternative SMTP port 587 with TLS encryption.

Below, you will find instructions on how to change this email configuration settings.

  • Click Server Settings.
  • Under Outgoing Mail Server (SMTP), uncheck the Automatically manage connection settings check box.
  • Then, change the port number from 465 to 587. Leave Use TLS/SSL checked as it is.
  • Click somewhere else on the page to save the settings. Then, close the Accounts page.
